Move a church bulletin from Publisher to Canva

Before you start

Canva can't open a .pub file. You bring the bulletin across through PowerPoint or a PDF, or you rebuild it using the old one as a guide. Have three things ready:

A PDF of the bulletin, saved while Publisher still opens (File, then Export, then PDF). It's your picture of how the finished page should look. If Publisher is already gone, our free guide covers LibreOffice and other routes.

The sheet size and fold. Measure a printed bulletin before you start.

Three ways to bring it across

1. Through PowerPoint (keeps the most you can edit)

Canva imports PowerPoint files as editable designs. Publisher can't save as PowerPoint, but you can copy each page across:

In PowerPoint, start a blank presentation. Go to Design, then Slide Size, then Custom, and set it to your sheet, for example 11 by 8.5 inches.
In Publisher, click an empty spot on the page, press Ctrl+A to select everything on it, then Ctrl+C.
In PowerPoint, click the slide and press Ctrl+V. Add a slide for each page and repeat.
Save the file, then drag it onto the Canva home page.

Try one page first: depending on your Publisher version, some items paste as pictures. Check each page. Anything that pastes as one flat picture won't be editable. Canva calls its PowerPoint import a beta, and it skips charts, SmartArt, 3D objects and WordArt.

2. Upload the PDF

Drag the PDF onto the Canva home page. Canva keeps the layout as close as it can and makes the text and pictures it recognizes editable. It's quicker than the PowerPoint route, but some text can come in "flattened," as a picture you can't edit.

3. Rebuild on top of the old page

Upload the PDF page as a picture, stretch it over your new design, turn its transparency down and lock it. Then add real text boxes on top, matching the old layout, and delete the picture at the end. It takes longest, but gives the cleanest template, and a template you'll use 52 times a year is worth an afternoon.

Setting up a folded bulletin

One sheet, four pages. Choose Create a design, then Custom size, pick inches, and enter the full sheet, wide side first (11 × 8.5 for letter). Your design has two pages. Page 1 is the outside: back cover on the left half, front cover on the right. Page 2 is the inside: bulletin page 2 on the left, page 3 on the right. Add a guide down the middle and keep text at least a quarter inch away from the fold.

More than four pages. Make the design at the folded page size (5.5 × 8.5 for letter) and lay out the pages in reading order, in a multiple of four. Download it as a PDF, open it in the free Adobe Acrobat Reader, and choose Booklet in the print window. Reader puts the pages in the right order on each sheet for you.

Fonts

Canva tries to match your fonts when it imports a file, but it can't always find an exact match. Pick the closest font once, write it down, and use it every week.

With Canva for Nonprofits (or Pro or Education) you can upload your own fonts to the Brand Kit, in OTF, TTF or WOFF format. The font's license has to allow embedding, and you should only upload fonts you're licensed to use. Upload the bold and italic files as well, or the B and I buttons stay grayed out.

What doesn't make the trip

Linked text boxes. Canva can't flow one story from box to box. Long announcements have to be split by hand.
WordArt, charts and SmartArt are skipped on PowerPoint import. Rebuild them.
Old logos and clip art come across as pictures, sometimes fuzzy ones. Find the original logo file if you can.
Master pages. Items Publisher repeated on every page, such as a border or the church name, become separate copies on each page, so a change means changing each one.
Tables, such as a serving schedule, may need rebuilding.

Printing tips

Download with Share, then Download, then PDF Print. For the office copier, leave crop marks and bleed off.
In the print window, choose Actual size, not "Fit," so nothing shrinks.
For a one-sheet bulletin, print double-sided and choose flip on short edge, so the inside isn't upside down.
Most office printers can't print to the very edge. Keep text a quarter inch in, and expect a thin white rim around any color that runs to the edge.
Print one copy, fold it and check the page order before you run 200.

Each week

Keep one master template and never type into it. Each week, open it, choose File, then Make a copy, and name the copy by date, such as 2026-10-04 Bulletin. Save the finished PDF into your archive folder too. Our guide to building a bulletin archive shows how to keep those in order.

Questions

Can Canva open my .pub file directly?

No. Canva doesn't read Publisher files. Bring the bulletin in through PowerPoint or a PDF, or rebuild it using a PDF of the old one as a guide.

Is Canva free for churches?

The free plan handles a weekly bulletin. Canva for Nonprofits gives eligible organizations the paid features at no cost; in the US you need proof of 501(c)(3) status, and Canva decides church applications case by case.

Can volunteers edit the bulletin from home?

Yes. Share the design with edit access, and each volunteer signs in with their own Canva account. Keep the master template locked away from weekly edits.
